Forms are used to collect information from users. The Form Builder provides the tools to add fields, configure notifications, manage rules and more.
Creating a Form
Forms can be created from the Forms page by clicking ‘+ New Form’ at the top right of the page.
You will then be required to choose between creating your form as a 'Form' or a 'Wizard'. A Form will only allow you to build one page, whereas a Wizard will allow you to add multiple pages. Once you have chosen a type, you will not be able to change it, so make sure you are clear about how you want to approach your form.
You will also be required to name and save your form before you begin building.
You can then edit your form by clicking the Build Form button on that form’s action menu.
Adding Form Components
Design a Form by dragging and dropping Form components onto the Form component area. Form components that are placed onto a Form will determine what that Form object looks like.
See our articles on Basic, Advanced, Layout and Data Components for more information on each of those types of components and how to configure them.
Saving a Form
You can save your form by clicking the save icon in the top menu of the form builder. If you navigate away from the form builder without saving, any changes you have made since your last save will be lost.
Versioning
You can create a new version of your form using the Version dropdown in the top menu of the form builder, and clicking New Version. You will then be prompted to name your new version and then save it. Any changes you have made since your last save will be saved under this new version.
Open
The Open button on the form builder menu allows you to view the current version of the form in a new tab, and enter and submit data into that form. Depending on your Submission Settings this may create a record on SYNTAQ, assemble documents, and send those documents via email.
You can also open a form from its action menu on the Forms page.
Submission Settings
Submission Settings allows you to configure an app job to run on submission of your form. See our article on apps for more details on how to configure app jobs.
Builder | Preview | {JSON}
There are three modes that you can view the form in in the Form Builder - Builder, Preview and JSON - which you can toggle between using the menu in the top right of the page.
Builder allows you to edit the content of the form.
Preview allows you to view the current form as it would appear when opened. This differs from open form in that you need not save the form before previewing it to view your changes.
{JSON} allows you to view the form in it's raw JSON schema format
Deleting a Form
A form can be deleted by clicking delete on that form's action menu. You will be prompted to confirm the form deletion.
Share Form to User or Team
Another option available from the form's action menu is the ability to share forms with other users and teams through the share form button.
Simply begin typing in the username of the user (or team name of the team) you want to share the form to and select them from the list along with any subsequent other users or teams, assign their permissions (Can View, Can Edit, or Set Owner), and click Share to finalise your choices.
Share Form to another Tenant
The remaining option available from the form's action menu is the share to tenant function. This is where you would share a form with an external tenant who is also on Syntaq. This is only used if there is another law firm or business that you want to be able to access your form, say as part of a licensing or service agreement, but you want to retain control of the form and templates, and a separation between your data and theirs.
You will need to know their exact tenant name in order for the share to work. The admin of that tenancy will also have to accept the shared form.
